Pre-loss documentation for commercial and multifamily property

A dated record of what every building looked like before a storm: roofs, walls, windows and rooftop equipment, in photos, drone video and written notes.

After a loss, it shows what was there before, in original files nobody has edited.

What the record covers

  • The roof, section by section

Covering or membrane type and condition, seams, flashing, edges, parapets, penetrations, drains, rooftop equipment, and any repairs or patches, each in close-up and in a wider shot for context.

  • Every elevation

Wide views of each side of every building, so any photo can be placed on the property.

  • Drone photos and video

Views from several directions, each roof area and elevation, a perimeter video of the layout, and slower video of anything worth a closer look. Flown where law, weather and airspace allow.

  • Exterior equipment

Gutters, windows, HVAC and rooftop units, siding, fences, carports and solar panels: at least 10 close-up and 10 wider photos of each one present.

  • Written observations

For each item: where it is, what it is, its condition and size, and the photos that show it. Areas that couldn't be reached are listed with the reason.

  • Drainage, openings and outdoor structures

Downspouts, scuppers, drains and where they discharge; glazing, screens, doors, louvers and seals; condensers, vents and equipment screens; balconies, decks, patios, pergolas and detached structures.

  • The inspector's own roof report

The partner's normal roof inspection report, the same kind it gives its commercial customers, alongside our checklist record.

  • An exception list

Every area that couldn't be reached, every missing view, and any safety, weather or airspace limit, so gaps are on paper, not discovered later.

  • Original files

Full resolution, with timestamps and metadata intact. Nothing is compressed, edited or drawn over; marked-up copies come in addition to the originals.

  • In your portal

The report sits on each property's page in the Cloudbreak app, next to your policies.

How it works

  1. 01

    Scope

We confirm the buildings, access, known hazards and the on-site contact for each property.

  2. 02

    Inspect

A certified inspection partner works through our capture checklist on the roof, around each building and by drone.

  3. 03

    Check

We review the package for missing views before it goes into your record. Anything that couldn't be captured is listed with the reason.

  4. 04

    Walk through

We go over the findings with you on a call.

Questions

What is pre-loss documentation?

A dated record of a property's condition made before any storm or loss: photos, drone video and written notes on the roof, walls and exterior equipment.

What should we have on file before a storm, in case damage is called wear and tear?

A dated record of the roof and exterior from before the storm: each roof section, flashing, edges, drains and rooftop equipment in close-up and wider shots, existing wear and prior repairs noted in writing, and original files with their timestamps intact. It shows the condition the building started from. It makes no finding on what caused later damage.

What records should a commercial or multifamily property have before a loss?

For the buildings: a dated condition record of every roof and exterior, plus roof and repair invoices. For the insurance: the full policy with its forms and endorsements, the declarations and the statement of values. We make the condition record and keep it next to your policies in the Cloudbreak app.

What should a pre-loss documentation report include for a commercial building?

Wide views of every elevation; each roof section with its covering, seams, flashing, edges, drains, penetrations and rooftop equipment in close-up and wider shots; drone photos and a perimeter video; gutters, windows, HVAC, siding, fences, carports and solar panels; written observations with location, condition and size; a list of anything that couldn't be captured; and original files with timestamps intact.

Does the report say what caused damage or whether it's covered?

No. Inspectors record what they see and keep it separate from suspected causes, and they make no statement on insurance coverage, claim value or what caused damage.

What happens after a storm?

Our team documents the damage against your pre-loss record, meets the carrier's adjuster on site with it, helps you build and file the claim and keeps it moving, and manages repairs with certified restoration contractors through closeout. Licensed public adjuster partners handle claim advocacy where required.

Is this an engineering report?

No. An engineering report gives a professional engineer's opinion, often on what caused damage after a loss. Pre-loss documentation records condition before any loss.

Our carrier already inspects our properties. How is this different?

The carrier orders its inspection for its own underwriting, and the report is the carrier's. You order pre-loss documentation, and every original photo, video and note sits in your portal.

Is it only for large portfolios?

No. A single building gets the same capture checklist as a large portfolio.

Do you inspect properties outside Texas?

Yes. We schedule a certified inspection partner where each property is.

Who does the inspection?

Certified inspection partners approved by Cloudbreak, carrying general liability insurance and following our inspection standard. They don't sell repair work or ask you to sign anything on site.

Who can see the files?

You and the Cloudbreak team. Partners deliver through the method we assign, never through personal file-sharing accounts.
