Lease administration software

Definition
Lease administration software stores lease agreements and tracks their key terms, such as start and end dates, payment schedules, renewal options and other critical dates, so the landlord or tenant can bill, pay, report and act on time. Many products also do lease accounting: classifying and measuring each lease under ASC 842 and IFRS 16 and reporting lease liabilities, assets and expenses.1
How it works
The administration side follows the lease itself. Each lease is abstracted into its key terms, dates and notice deadlines are tracked, rent steps and operating expense recoveries are calculated, and signed documents and amendments are kept in one place.
The accounting side turns those terms into financial statement figures. Software in this category typically tracks leases and their key terms; automates lease classification, measurement and reporting under ASC 842 and IFRS 16; and reports on lease liabilities, assets and expenses for real estate, equipment and vehicle leases.1
The accounting side follows ASC 842, which FASB issued as Accounting Standards Update 2016-02 in February 2016. It requires lessees to put a right-of-use asset and a lease liability on the balance sheet for leases longer than 12 months, operating and finance leases alike. Optional renewal periods count only if the lessee is reasonably certain to exercise them.2,3
For owners leasing space to tenants, FASB left lessor accounting largely unchanged. Most operating leases stay operating leases, and lessors recognize lease income on a generally straight-line basis over the lease term.2
IREM's commercial lease administration course shows what the job covers: lease terms and provisions, the lease language that sets how operating expenses are calculated, gross-up calculations and tenant reporting obligations.4
Example
Example inputs: a 5-year office lease, classified as an operating lease, covers 4,000 rentable square feet (measured under a BOMA standard) at $25.00 per square foot, or $100,000 in year 1, rising 3% a year. Under ASC 842 the lessor recognizes operating lease income on a generally straight-line basis: $530,913.58 in total rent over 5 years, or $106,182.72 a year.2,5
| Year | Cash rent | Straight-line income | Income minus cash |
|---|---|---|---|
| 1 | $100,000.00 | $106,182.72 | $6,182.72 |
| 2 | $103,000.00 | $106,182.72 | $3,182.72 |
| 3 | $106,090.00 | $106,182.72 | $92.72 |
| 4 | $109,272.70 | $106,182.72 | ($3,089.98) |
| 5 | $112,550.88 | $106,182.72 | ($6,368.16) |
A tenant reporting under ASC 842 also spreads a single operating lease cost on a generally straight-line basis. First, though, it records the right-of-use asset and lease liability at the present value of the lease payments.2
Where you'll see it
- Public requests for proposals: Santa Fe County, New Mexico (August 2021) asked for an audit trail of every lease change, uploads of signed leases, and renewal options flagged as reasonably certain or not, with the lease term following that flag.6
- The University of Texas System (RFP 720-2006, December 2019) asked for support for step leases, rent holidays, rent tied to a market index, and critical dates for renewal options and terminations, plus an optional repository for contracts and amendments.7
- Financial statement notes: ASC 842 adds qualitative and quantitative disclosures on the amount, timing and uncertainty of lease cash flows.3
- Rentable area: BOMA's 2024 Office Standard exists mainly to calculate rentable area, a crucial metric in office leasing. Its area figures are also used to allocate building expenses.5
Questions
- What is the difference between lease administration and lease accounting software?
- Lease administration tracks the lease: dates, payment schedules and renewal options. Lease accounting classifies and measures leases under ASC 842 or IFRS 16 and produces the reports. Many products do both, and Gartner treats them as one category, lease accounting and management software.1
- Does ASC 842 change accounting for landlords?
- Mostly not. FASB says lessor accounting is largely consistent with prior GAAP, with targeted changes to align it with the lessee model and with revenue recognition under Topic 606.2,3
- Is lease administration software the same as an IWMS?
- No. Gartner defines an integrated workplace management system (IWMS) as enterprise software for the life cycle of corporate real estate. Its one mandatory feature, real estate portfolio management, covers administration and accounting; maintenance and space management are optional.8
